Our online store has been developed using Webador software by Jouwweb, headquartered in Eindhoven. The personal data you provide us for our services is shared with this platform. Jouwweb has access to your data solely to provide us with (technical) support and never uses the data for any other purposes. Jouwweb operates under an agreement we have signed with them, which obligates them to take appropriate security measures. These security measures include HTTPS connection (with SSL certificate) and DNSSEC encryption and a strong password policy. Jouwweb uses cookies to collect technical information about user interactions with the software, but no personal data is gathered or stored. Your information may be shared within our own group to enhance and improve services.

Stripe processes your personal data, such as your name, address, city, and payment details, including bank account or credit card information. Stripe has taken appropriate technical and organizational measures to safeguard your personal data. Stripe reserves the right to use your data for further improvement of their services and to share (anonymized) data with third parties for this purpose. All the aforementioned guarantees regarding the protection of your personal data also apply to the parts of the services provided by Stripe where they engage third parties. We collect reviews through the Jouwweb platform. If you leave a review through Jouwweb, you are required to provide your name, city, and email address. Jouwweb shares this information with us so that we can associate the review with your order. Jouwweb also publishes your name and city on their own website. Contact form and Newsletter

Through our contact form, you can ask us questions or make requests. For this purpose, we use your email address. We do this based on your consent. We store this information until we are confident that you are satisfied with our response, and then for six months thereafter. This allows us to easily access the information in case of follow-up questions. We may also use this information to train our customer service to improve our services further.

You can subscribe to our newsletter, where you can read about updates, tips, and information regarding our products and services. You can unsubscribe from this subscription at any time. Each newsletter contains an unsubscribe link. Your email address will be automatically added to the subscriber list. This data is stored until the subscription is canceled.

E-mail

We use Webador Webmail services for our regular business email communication. This platform has taken appropriate technical and organizational measures to prevent misuse, loss, and damage to your data as well as ours. Webador does not have access to our mailbox, and we treat all our email traffic as confidential.

Shipping and logistics

When you place an order with us, our task is to deliver the package to your doorstep. We utilize the services of PostNL, DPD, and DHL for order fulfillment and logistics. Therefore, it is necessary for us to provide PostNL, DPD, and DHL with your personal data, such as your name, address, and city. PostNL, DPD, and DHL use this data solely for the purpose of executing the contract. In cases where PostNL, DPD, and DHL engage subcontractors, they may also share your data with those entities.

General purpose of data processing

The general purpose of processing your data is solely for the provision of our services. This means that the processing purpose is always directly related to the order you have entrusted to us. We do not use your data for (targeted) marketing purposes. If you provide us with your data, and we use this data to contact you at a later time—except when it is your explicit request—we kindly ask for your explicit consent. Your data is not shared with third parties unless it is necessary to fulfill accounting and administrative obligations. These third parties are obligated to maintain confidentiality based on an agreement between them and us, an oath, or a legal obligation.

Cooperation in tax and criminal investigations

In some cases, KOTERYart may be legally obliged to disclose your data to government authorities in connection with tax or criminal investigations. In such a situation, we are compelled to provide your data, but to the extent permitted by law, we will oppose it as much as possible.

Data retention

We retain your data for as long as you remain our customer. This means that we keep your customer profile until you inform us that you no longer wish to use our services. If you make such a request, we will also consider it as a request for data deletion. In accordance with applicable administrative regulations, we are required to retain invoices containing your (personal) data, so we will retain this data for the required period. However, our employees will no longer have access to your customer profile and the documents we have created in connection with your order.

Your rights

Based on the applicable Dutch and European law, as an individual whose personal data is processed by us or on our behalf, you have specific rights. Below, we explain what these rights are and how you can exercise them. In principle, we only send copies and excerpts of your data to the email addresses we already have on record to prevent abuse. If you wish to receive the data at a different email address or by mail, for example, we will ask you to provide proof of your identity. We maintain a register of processed requests, and in the case of a request for data deletion, we record anonymous information. All copies and excerpts of the data will be provided in a machine-readable format, which we use in our systems. You have the right to lodge a complaint with the supervisory authority for personal data protection at any time if you suspect that we are using your personal data in an improper manner.

If the request is granted, we will send you copies or excerpts of all data concerning you that we have processed or that have been processed on our behalf by other processors or third parties. However, it is likely that we will not be able to continue providing services in such a case, as it will not be possible to ensure a secure connection of the data sets.

Right to rectification

You always have the right to correct the data that we process (or have processed) that relates to you personally or is connected to you. You can submit such a request to our privacy contact. You will receive a response to your request within 30 days. If the request is granted, we will send you a confirmation to your known email address that the data has been corrected.

Right to object and other rights In appropriate cases

You have the right to object to the processing of your personal data by KOTERYart or on behalf of KOTERYart. If you raise an objection, we will immediately cease processing the data while awaiting the resolution of your objection. If your objection is upheld, we will provide you with copies or excerpts of the data we process or that is processed on our behalf, and we will cease further processing of that data. Additionally, you have the right not to be subject to automated decision-making, including profiling. We do not process your data in a way that would be subject to this right. If you believe otherwise, please contact our privacy representative.
